1. Who we are
Tableside is a facilitated conversation studio operating from Lot 22, Jalan Telawi 3, Bangsar Baru, 59100 Kuala Lumpur, Malaysia. We run educational conversation sessions for couples and families. This policy explains how we handle personal information provided to us in the course of our activities.
For privacy enquiries, contact us at [email protected] or by phone at +60 3-2284 7136.
2. Information we collect
We collect information only where it is necessary to provide our services or to communicate with you. The types of information we may collect include:
- Contact information — name, email address, and phone number provided when you enquire about or book a session.
- Intake questionnaire responses — answers to the short pre-session questionnaire completed by participants before each session. These responses are used only by the facilitator assigned to your session to prepare appropriate prompts.
- Session notes — internal notes made by facilitators during or after sessions. These are retained for continuity purposes on multi-session formats and are not shared externally.
- Payment records — records of payments made to confirm and track bookings. We do not store full card details on our own systems.
- Website usage data — basic analytics data collected when you visit our website, subject to your cookie preferences.
3. How we use your information
We use your personal information for the following purposes:
- To respond to enquiries and arrange session bookings.
- To send the intake questionnaire prior to your session and process your responses.
- To prepare the facilitation approach for your session based on questionnaire responses.
- To provide written session summaries for the Blended Family Block format, distributed to adult participants.
- To maintain continuity of facilitation for multi-session and subscription formats.
- To process and record payments.
- To comply with applicable legal obligations.
We do not use your personal information for marketing to third parties, and we do not sell, rent, or trade your information with any outside organisations.
4. Session confidentiality
The content of facilitated sessions is treated as confidential. Facilitator notes are held internally and are not disclosed to any third party, including other participants who were not present at the session, unless all participating adults explicitly agree otherwise in writing.
Written agreement summaries produced for the Blended Family Block format are distributed only to the adult participants who attended the relevant session.
In exceptional circumstances — such as where we believe there is a serious and imminent risk to the safety of a person — we may be required to disclose information. We will inform you of this wherever legally permissible.
5. Data retention
We retain your personal information only for as long as is necessary for the purposes for which it was collected:
- Contact and booking records are retained for up to two years after your last engagement with us.
- Intake questionnaire responses and session notes are retained for the duration of your engagement and for up to one year after the final session, to support continuity in the event of a follow-up engagement.
- Payment records are retained for seven years in accordance with financial recordkeeping obligations.
After the relevant retention period, personal data is securely deleted or anonymised.
6. Your rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your personal information, where no legal obligation requires us to retain it.
- Withdraw consent for the processing of your personal information where consent is the legal basis for processing.
- Object to processing of your personal information in certain circumstances.
To exercise any of these rights, contact us at [email protected]. We will respond within a reasonable period and in any case within thirty days.
7. Cookies and website analytics
Our website uses cookies to support basic functionality and, with your consent, to understand how the site is used. You can manage your cookie preferences through the consent banner on our homepage, or by adjusting your browser settings.
For full details of how we use cookies, please read our Cookie Policy.
8. Third-party services
We may use third-party services to support our operations, including payment processing and email communication. These providers are selected for their privacy practices and are not permitted to use your information for any purpose other than to provide the contracted service to Tableside.
We do not share personal information with third-party advertisers or data brokers.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, the updated version will be published on this page with a revised date. Material changes will be communicated to active participants by email where we hold your address.
